Job Summary:
The General Services Coordinator is responsible for overseeing daily facility operations, including supervising cleaning staff, managing office equipment and employee amenities, and ensuring the availability of necessary supplies. This role plays a key part in maintaining a clean, functional, and welcoming work environment.

Key Responsibilities:

  • Supervise Cleaning Crews:
Oversee daily performance of janitorial staff to ensure cleanliness standards are met; coordinate cleaning schedules and address any facility-related concerns promptly.
  • Employee Refreshments & Breakroom Support:
Maintain and support daily operations of coffee machines, drinking water systems, vending machines, microwaves, ovens, and other shared appliances; ensure all equipment is functioning properly and coordinate repairs when needed.
  • Supply Ordering & Inventory Management:
Order and maintain inventory of breakroom and restroom supplies, including: coffee, tea, sugar, creamer, cups, plates, toilet paper, hand soap, and toilet seat covers; monitor stock levels and ensure timely replenishment.
  • Office Equipment Management:
Oversee the maintenance and service of office equipment such as copiers, printers, scanners, and fax machines; manage first aid/medical boxes and ensure supplies are up to date.
  • Facility Services & Vendor Coordination:
Schedule and monitor monthly pest control services; coordinate with external vendors for equipment servicing and other office needs.
  • Visa and Administrative Support:
Assist with employee visa application processes, including document preparation and submission tracking.
  • Front Desk Coverage:
Serve as backup for front desk reception duties, including greeting visitors and handling phone calls.

Qualifications:

  • High school diploma or equivalent; Associate's or Bachelor's degree preferred
  • 2+ years of experience in general services, office administration, or facilities coordination
  • Strong organizational and multitasking skills
  • Excellent communication and interpersonal skills
  • Proficiency in MS Office (Word, Excel, Outlook)
  • Ability to manage vendors and service providers professionally
  • Prefer bilingual English and Chinese
