Position Summary:

We are seeking a highly organized, proactive, and detail-oriented Recruitment & HR Assistant to support recruitment and HR operations in a fast-paced, dynamic environment.

This is a full-time temporary position for a minimum of six (6) months, with the potential to convert to a permanent role based on business needs, headcount availability and individual performance.

This role supports recruitment and HR operations, including candidate coordination, resume screening, interview scheduling, HR administration and employee lifecycle activities and is well suited for individuals seeking to build or further develop their experience in in Human Resources.

The successful candidate will play an active role in keeping recruitment and HR processes moving efficiently, ensuring accuracy, responsiveness and strong follow-through across multiple priorities and stakeholders.


Job Responsibilities:

Recruitment Support
  • Partner with hiring managers to review, update, and prepare job descriptions aligned with hiring needs.
  • Post, maintain, and close job postings across internal and external platforms.
  • Review resumes and applications against role requirements and hiring criteria.
  • Conduct initial candidate screening, including experience, qualifications, compensation expectations, work authorization, availability and overall fit.
  • Coordinate and schedule interviews across teams, locations and time zones.
  • Serve as a key point of contact for candidates throughout the recruitment process, ensuring a positive and professional experience.
  • Maintain accurate recruitment records, candidate pipelines, interview tracking and Applicant Tracking System (ATS) updates.
  • Support recruitment documentation, approvals and reporting.
  • Manage multiple requisitions simultaneously with strong attention to detail and timely follow-through.
HR Operations Support
  • Support onboarding activities, including document collection, system access coordination, equipment requests and badge processing.
  • Maintain and update employee personnel files and HR records to ensure accuracy, completeness and compliance.
  • Support offboarding activities, including exit coordination, documentation, and asset tracking.
  • Assist with HR reporting, spreadsheets, tracking tools and documentation.
  • Support coordination of HR meetings, training sessions, scheduling, attendance tracking and logistics.
  • Assist with HR processes such as employee relations support, investigations, audits, and compliance activities, as needed and with strict confidentiality.
  • Handle sensitive employee and business information with discretion, professionalism and sound judgment.
  • Collaborate closely with HR team members, hiring managers and cross-functional stakeholders.


Qualifications:

  • 6 months to 1 year of experience in recruitment or HR roles with direct, hands-on involvement in recruitment execution.
  • Candidates must have practical experience in resume screening and conducting initial candidate interviews (e.g., phone/video screening), in addition to interview coordination and ATS tracking. Experience supporting end-to-end recruitment processes is highly desirable.
  • Degree, diploma, or certification in Human Resources, Business Administration or related field (or equivalent experience).
  • HR-related training, coursework or certification (e.g., SHRM, CHRP or similar) is an advantage.
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
  • Strong follow-through, accountability, and ability to ensure tasks are completed accurately and on time.
  • Excellent communication and stakeholder coordination skills, with confidence working with candidates and hiring managers.
  • High attention to detail, professionalism and sound judgment.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint); ATS/HRIS experience preferred.
  • Comfortable working in a high-volume, dynamic environment with shifting priorities.
  • Additional language skills (e.g. Vietnamese, Mandarin) are considered an asset.


Pay Range: $24-28/hour
Status: Non-Exempt
